Key duties include calendar and correspondence management, document preparation, travel and visa coordination as NDF’s travel focal point (including compliance and emergency response), meeting and event planning, and support for internal coordination and digital tools. The role requires relevant administrative or professional education, several years of executive assistant or similar experience (preferably in international or multicultural settings), strong organisational and communication skills, high discretion, advanced MS Office and fluency in English. NDF’s work focuses on the nexus between climate change and development in lower-income countries and countries in fragile situations. Together with our strategic partners, we develop, launch and scale high-impact projects to support developing countries and people vulnerable to climate change. To support smooth daily operations, effective leadership and strong internal and external collaboration, NDF is now recruiting an Executive Assistant to join the Managing Director’s Office at NDF. This is a fixed-term position for one year to cover a period of parental leave. The preferred start date is mid-October 2026. The Executive Assistant will provide high-quality administrative and coordination support to the Managing Director and selected department directors. The role reports to the Managing Director and is central to effective information flow, well-organised leadership support, travel coordination, internal collaboration and a professional working environment across NDF. Key responsibilities • Provide executive administrative support to the Managing Director and selected department directors, including calendar coordination, correspondence, document preparation, inquiry handling, information flow and filing. • Coordinate travel and related logistics, including travel arrangements, itineraries, visas, travel-related invoices and expenses in line with organisational procedures. • Serve as NDF’s travel focal point, including guidance on travel procedures and approvals, maintenance of travel guidance, compliance monitoring and support to travel safety and emergency response as a member of the ISOS Response Group. • Support departmental and organisational coordination, including agreed administrative support to department directors, internal information sharing, planning and coordination of Executive Management Committee (EMC) meetings, and serving as focal point for induction of new staff members. • Plan and coordinate internal and external meetings and events, including logistics for staff meetings and other recurring activities. • Support internal development initiatives and effective use of digital tools. • Contribute to a positive and professional working environment by acting with integrity, flexibility, discretion and a service-oriented mindset, and by carrying out other relevant duties as requested. Key competencies, experience and personal attributes • A genuine interest in NDF’s purpose and values , and motivation to contribute to NDF’s mandate in climate and development finance. • Relevant administrative, business or other applicable professional education. • Several years of relevant experience in an executive assistant or similar administrative role, preferably in an international or multicultural working environment. • Strong organisational, planning and prioritisation skills, with the ability to work independently, take initiative and manage competing priorities. • Excellent interpersonal and communication skills, with a proactive, solution-oriented and collaborative working style. • High level of discretion, integrity and professionalism, including the ability to handle sensitive information appropriately. • Advanced MS Office skills and readiness to learn and use other relevant digital tools and platforms. • Fluency in English, both written and oral. Working proficiency in a Nordic language is an advantage, and other language skills are considered an asset.
