You will coordinate and ensure accurate, timely payroll across all Nordic countries, act as the main contact for the external payroll provider, and maintain payroll governance, T&E processes and high-quality HR master data in Workday and related systems. The role requires experience coordinating Nordic payroll and working with external providers, knowledge of HR systems with Workday as an advantage, a strong data quality focus and fluency in English, Finnish and one other Nordic language. About the role We are looking for a proactive and experienced Payroll & HR Systems Specialist to join our Nordic HR team at Miele in Vantaa. You will be a core part of our HR Operations team, supporting around 500 employees across four markets. You will report directly to the Head of HR Operations Nordics, GB & Ireland, based in Sweden. In this role you will take ownership of payroll coordination, payroll governance and people-related data in various systems for the Nordic organization. You will work closely with our external payroll partner, HR Operations team, HR Business Partners and Finance to ensure accurate payroll delivery, high data quality in Payroll and HR related systems and continuous improvement of payroll processes. You will contribute to strengthening payroll governance, improving HR and payroll data quality and building a modern regional HR Operations model. Key responsibilities Coordinate and ensure the accuracy and timeliness of payroll processes across all Nordic countries Act as the main contact for the external payroll provider Maintain payroll processes, documentation, and governance structures Perform payroll data validations and controls prior to payroll runs Manage Time & Expense (T&E) processes, including travel and expense administration Provide first-line support for HR and payroll-related questions to managers and employees Ensure high-quality HR master data in Workday and other related systems Deliver reporting and support HR and Finance with payroll-related insights Collaborate closely with the HR Operations team to improve processes Drive continuous improvement of HR and payroll processes What we expect from you Experience in coordinating Nordic payroll processes and working with external payroll providers Experience with HR systems; knowledge of Workday is considered an advantage Strong attention to detail, analytical mindset, and focus on data quality Structured, proactive, and systematic way of working Ability to collaborate effectively with HR, Finance, and external stakeholders Interest in developing payroll and HR processes Fluency in English, Finnish and and one other Nordic language (Swedish, Norwegian or Danish) Strong MS Office skills, especially Excel, and interest in new technologies and AI Service-minded yet assertive approach, with the ability to provide clear and high-quality support even in busy situations A development-oriented mindset with a continuous improvement approach What we offer An independent, interesting, and versatile role within a well-established international company Opportunities for continuous professional development Competitive employment conditions and a supportive working environment An open and people-oriented company culture that values diversity and inclusion Hybrid work flexibility and a strong emphasis on collaboration and team spirit Additional information For more information, please contact Head of HR Operations Nordics & GBIE: Pernilla Jacobsson ( [email protected] ) The recruitment process is carried out in cooperation with Staffpoint Professionals, but the employment contract will be signed directly with Miele.
